Planning a corporate event in Barcelona: what to know
Barcelona is one of the most popular cities in Europe for company events, offsites and incentive trips. Good flights, good weather and a city that does dinner and nightlife well. A few local details make the difference between a smooth event and a stressful one.
Timing: check the city calendar first
Spring and early autumn are the most popular periods. Large trade fairs, such as the Mobile World Congress in late February or early March, fill hotels and raise prices across the city. Check the fair calendar before you fix a date.
Barcelona also eats late. Dinner at nine is normal, and guests from northern Europe may need a programme that starts earlier. Plan the evening with both rhythms in mind.
Venues: from rooftops to masias
- Rooftops and hotel terraces for drinks with a view
- Restaurants with private rooms for dinners up to a few dozen guests
- Industrial spaces in Poblenou for larger, flexible set-ups
- Beach venues for a relaxed summer programme
- Masias outside the city for a full day with lunch, activities and a party
Ask about the minimum spend, the included equipment and especially the sound limits and music curfew. Many venues have strict rules on volume and end times, and that determines how late your party can go.
Suppliers and language
Most suppliers speak English, but contracts, permits and on-site staff often work in Spanish or Catalan. A local producer saves time on briefings and prevents misunderstandings about what is included.
Make it worth filming
A company event is also content: for recruitment, internal comms and social media. Plan a few moments that look good on camera and book a photographer or videographer who knows how to work in a busy room.
Checklist
- Goal of the event and the feeling guests should leave with
- Date checked against fairs and local holidays
- Venue with clear terms on minimum spend, sound and end time
- Transport between hotel, venue and airport
- Music programme: background, live moment, DJ
- Run sheet shared with every supplier
- Photo and video plan
- Plan B for rain or heat if you are outside
